1. Scope of This Policy

This Privacy Policy explains how Huddle Surety (“Huddle,” “we,” “us”) collects, uses, and shares information when you visit huddlesurety.com, request a demo, or otherwise interact with our marketing and informational web properties (the “Site”).

This policy does not cover the Huddle platform. If you are a customer agency using our bond automation software, our handling of data you submit through the platform is governed by your Master Services Agreement, Data Processing Addendum, and the in-product privacy terms, not by this policy. Where those documents conflict with this one, those documents control.

We do not solicit or want sensitive personal information (Social Security numbers, financial statements, credit information, bond applications) through this Site. Please do not submit it through our web forms or general email addresses.

2. Information We Collect

2.1 Information You Provide

• Contact and demo requests: Name, business email, phone number, agency or company name, job title, and anything you write in a free-text field.
• Direct correspondence: Email, phone, or messages you send us and our replies.

2.2 Information Collected Automatically

Our Site is hosted and served through Cloudflare. In the course of delivering and securing the Site, Cloudflare processes:

• IP address and approximate location derived from it
• Browser type, device type, and operating system
• Referring URL, pages requested, and response status
• Date and time stamps and other server log data

We use this information in aggregate to understand traffic volume and to protect the Site against abuse.

2.3 What We Do Not Do

We do not append information about you from data brokers or enrichment services. We do not track you across other websites, and we do not build advertising or prospecting profiles from your visit. We do not use Site visitor data — including page views, IP addresses, or form submissions — as a source for marketing lists or cold outreach.

If you submit a demo or contact request, we will reply to you about that request. That is a response to you, not outreach generated from your browsing.

3. How We Use Information

We use the information described above to:

• Respond to your inquiries and schedule and conduct demos
• Evaluate whether Huddle is a fit for your agency and prepare relevant materials
• Operate, secure, debug, and improve the Site
• Comply with legal obligations and enforce our terms
• Establish, exercise, or defend legal claims

We do not use information collected through this Site to make automated decisions that produce legal or similarly significant effects about you.

4. Cookies and Similar Technologies

We use only cookies and similar technologies that are strictly necessary to deliver and secure the Site. These are set by Cloudflare for purposes such as bot detection, rate limiting, and load management.

We do not use advertising cookies, retargeting pixels, or cross-site tracking technologies. You can control cookies through your browser settings; blocking strictly necessary cookies may prevent parts of the Site from working.

5. How We Share Information

We share information only as follows:

• Service providers: Vendors that host and secure our Site (Cloudflare), deliver email, and manage our customer records, acting strictly on our instructions.
• Professional advisors: Attorneys, accountants, and auditors, under confidentiality obligations.
• Legal and safety: Where required by law, subpoena, or legal process, or to protect our rights, users, or the public.
• Corporate transactions: In connection with a financing, merger, acquisition, or sale of assets, information may transfer to the counterparty or successor, subject to this policy.
• With your direction: Where you ask us to share information with a third party.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising as those terms are defined under California and other state privacy laws. We do not process personal information for targeted advertising.

6. Retention

We keep information for as long as needed for the purposes described above, and then delete or de-identify it. As a general matter: demo and inquiry records are retained for 2 years after last contact; server and security logs are retained for 30 days per Cloudflare log retention settings. We may retain information longer where necessary for legal or compliance reasons.

7. Security

We use administrative, technical, and physical safeguards designed to protect information, including TLS encryption in transit, access controls, and vendor review. No system is perfectly secure, and we cannot guarantee the security of information transmitted to us.

8. Your Rights and Choices

• Email: If we have contacted you about a demo or inquiry and you would prefer we stop, tell us and we will. Any commercial email we send includes an unsubscribe mechanism.
• Access, correction, and deletion: Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, to receive a copy of it, and to appeal a denial of your request. Because we do not sell or share personal information or use it for targeted advertising, there is no opt-out for those activities. To exercise your rights, contact us at privacy@huddlesurety.com. We will verify your request using the information we already hold and respond within the period required by applicable law.
• Authorized agents: You may use an authorized agent to submit a request on your behalf, subject to verification.
• Non-discrimination: We will not deny you services, charge a different price, or provide a different level of quality because you exercised a privacy right.

9. Children

The Site is intended for business professionals. We do not knowingly collect personal information from anyone under 16. If you believe a minor has provided us information, contact us and we will delete it.

10. Where We Operate

Huddle is a United States company and the Site is intended for users in the United States. Information we collect is processed and stored in the United States. Cloudflare operates a global network and may route or cache Site content through servers outside the United States as part of delivering the Site.

11. Third-Party Links

The Site may link to third-party sites, including partner carriers, industry associations, and social platforms. We are not responsible for their privacy practices, and this policy does not apply to them.

12. Changes to This Policy

We may update this policy. When we do, we will revise the “Last Updated” date above, and for material changes we will provide additional notice, such as a banner on the Site. Your continued use of the Site after an update means you accept the revised policy.
